How to improve warehouse inventory accuracy

Practical warehouse controls for product codes, stock movements, locations, count discrepancies and a WMS transition.

1. Standardize product codes and units

Tracking the same product under different codes fragments the stock picture. Define product identity, description and base unit, with explicit conversions such as cases to pieces. Check links to historical records before removing unused codes. Assign responsibility for changes to product information.

2. Record movements where they happen

Distinguish receiving, relocation, picking, dispatch and returns. Record the product, quantity, source and destination, time and responsible person for each movement. End-of-day bulk entry can create temporary differences between physical and recorded stock; make recording delays visible.

3. Investigate the cause of count differences

Use the same warehouse and location scope when comparing physical counts with system quantities. Before adjusting a difference, check open dispatches, unrecorded returns and unit conversions. Record the adjustment reason and approver. Regular small counts help identify recurring error points.

4. Start the WMS transition with a controlled pilot

Base opening balances on verified counts. Complete receiving, putaway, picking and dispatch for a limited product group first. Test barcode devices and any customer-system connection separately. Software alone does not establish inventory accuracy: work rules and consistent recording remain essential.
