How to track transport costs and trip profitability

An operation-based guide to transport revenue, direct expenses, currencies and trip-closure checks.

1. Link revenue and expenses to the same reference

Collect customer transport charges and related carrier, fuel, toll and ferry expenses under one operation reference. Keep quoted, actual and unverified amounts in distinct states. Ensure entering an amount in operations and finance does not cause it to be counted twice in a report.

2. Define the currency and comparison basis

Do not directly add amounts in different currencies. Record the exchange rate, date and reporting currency used for comparison. Keep tax-inclusive and tax-exclusive amounts consistent. This operational assessment does not replace statutory accounting or country-specific tax rules.

3. Use an example to explain the scope

As an illustration only, revenue of 30,000 and direct expenses of 24,000 on the same currency and tax basis give a direct difference of 6,000. This is not net company profit: overhead, financing, tax and missing costs can change the result. Show which categories the report includes.

4. Check incomplete records before closure

Create a closure checklist for expense evidence, carrier invoices and delivery records. Do not mark missing costs as complete. Track which period and operation receive late expenses. During software evaluation, confirm you can trace amounts to their sources and that user permissions match responsibilities.
